Half-O-Ween Vendor Village Application & Information

Location: Playground Productions Studio in the Coal Factory Outdoor Complex

Vending hours: 12pm-5pm

VENDOR REQUIREMENTS

With the limited amount of booths we have available, we are focusing on accepting artists and artisans, crafters with handmade goods, food vendors, and other types of vendors that sell handmade goods on site at event. We will also accept onsite services such as massage therapy, aura photography, 
 
There will be no more than 3-4 vendors accepted with the same types of products so everyone is successful!
 
Please note, WE ARE NOT ACCEPTING:
  • Political parties/candidates booths, social justice organization booths, or any propoganda uses
  • MLM marketers
  • Direct sales vendors (Avon, Tupperware, Mary Kay, Papparazzi, Pampered Chef, etc.)
  • Alcohol vendors
  • Informational booths
  • Local businesses such as banks, credit unions, realtors, medical offices, and other similar businesses.
  • Trade businesses, such as home repairmen, contracting services, home remodeling services, etc.
  • The Magick Candle will be providing psychic readings throughout the event with proceeds benefitting their local charity, Gaia Works, so we will not accept any psychic readers.

BOOTH OPTIONS & PRICING

All spaces are outdoors. No electricity access or WiFi

Early Bird:
(Ends Feb. 28th)

  • Single: $50
  • Double $100
  • Triple $150

Regular Booth Pricing:
(starting March 1st)

  • Single: $75
  • Double $150
  • Triple $225

REQUIREMENTS FOR RESERVING A BOOTH

Upon approval, Vendors must sign the e-agreement AND make a payment in order to secure a booth. Your booth will not be confirmed until both actions are completed.

The e-agreement will contain more policies and specific information.

QUICK OVERVIEW OF REQUIREMENTS & TERMS

Food Vendors: 

  • We will only be accepting 1-2 food trucks, 1-2 food booths, and 1-2 dessert vendors.
  • Food vendors are solely responsible to obtain and carry the proper permits from the Board of Health.
    • If you do not have proper permits and are shut down by the Board of Health during the event, the hosts/organizers bear no responsibility and you will not receive any refunds or credits.
  • Payment deadline is March 18th in order to have time to submit food vendor info the the Marion County Health Department.

Payment Terms:

  • Booths are first come, first serve. Vendor must make the full payment and complete the agreement to reserve booth space; we recommend you make your payment immediately as space is limited.
  • Final payment deadline for vendors is April 17th (there is no guarantee booths will still be available so if approved make payment ASAP to secure a booth).
  • Early Bird payments must be received by February 28th. An approval anytime from present up until Feb. 28th does not gaurantee the Early Bird Discount. In order to be eligible for the Early Bird Discount, your payment must be submitted by February 28th. No exceptions.
Cancellations/Refunds:
  • ABSOLUTELY NO REFUNDS OR CREDITS OR TRANSFERS TO ANOTHER EVENT. THIS WILL BE STRICTLY ENFORCED. EVENT WILL TAKE PLACE RAIN OR SHINE WITH NO RAIN MAKE UP DAY.

Load-in & Set-up:

Late arrivals and set up WILL NOT BE TOLERATED and WILL NOT BE ALLOWED ACCESS. 

  • Vendors can begin getting booths ready the day of the event starting at 10:00am. 
  • Food vendors/vehicle vendors/sponsors must be on site and parked in your spot by 9:30am. Late arrivals will not be allowed access.
  • ALL BOOTH VENDORS must be on site by 11am
  • Booth vendors and food vendors must be ready to operate booth by 11:45 am, event starts at 12pm.
  • No refunds will be issued if you are not set up on time. 
  • No shows will not be refunded.
  • Vendors are expected to furnish their own Space, including tents, canopies, tables, chairs, displays, signage, etc.
  • All furnishings must fit within the Space provided and are not permitted to extend beyond the designated Space. 

Load-out/Tear-down:

  • Vendors must remove their booth items, dispose of all trash and vacate premises no later than no later than 6:30pm.
